Learn How Business Credit Checks Work

Understanding Business Credit: What It Is and Why It Matters

Business credit is a financial record that tracks how a company borrows and repays money. Similar to personal credit scores that follow individuals, business credit scores follow companies. These scores help lenders, suppliers, and other businesses understand the financial reliability of a company before entering into business relationships.

According to the Small Business Administration, approximately 28 million small businesses operate in the United States. Of these, a significant portion rely on business credit to obtain loans, purchase equipment, or negotiate better payment terms with suppliers. Business credit differs from personal credit because it focuses on the company's financial behavior rather than an individual's personal finances.

A business credit check examines several components of a company's financial history. This includes payment history with vendors and suppliers, the amount of credit currently being used, the types of credit accounts the business holds, and any public records like liens or judgments. The check creates a snapshot of how responsible a company is with its financial obligations.

There are three major business credit bureaus that maintain these records: Dun & Bradstreet, Experian Business, and Equifax Business. Each bureau collects information from various sources and assigns business credit scores. These scores typically range from 0 to 100, with higher scores indicating more reliable payment patterns and lower financial risk.

Understanding business credit is important because companies with strong business credit scores may receive better interest rates on loans, more favorable payment terms from suppliers, and higher credit limits. Conversely, businesses with poor scores may face higher costs for borrowing or difficulty obtaining credit at all.

Practical Takeaway: Business credit is a separate financial identity from personal credit. Companies should understand that their business credit score influences how other businesses and lenders view their financial responsibility. Monitoring this score regularly helps identify potential issues before they create problems when seeking financing or negotiating with suppliers.

The Business Credit Check Process: How Checks Are Conducted

When a business applies for credit or a lender wants to assess a company's financial health, they initiate a business credit check. This process involves requesting information from one or more of the major business credit bureaus. The check pulls together data that has been reported about the company over time.

The process begins when a creditor, lender, or supplier requests business credit information about a company. The business credit bureau searches its database for records associated with the business. This search typically uses the company's legal name, Employer Identification Number (EIN), and sometimes the business address. The bureau compiles all available information into a business credit report.

Business credit checks can be "soft" or "hard." A soft inquiry does not affect the business credit score and is typically used for internal monitoring or pre-qualification purposes. A hard inquiry may impact the score slightly and occurs when a company formally applies for credit. Many soft inquiries can be made without consequence, but multiple hard inquiries within a short period can lower a score by a few points.

The data sources that feed into business credit checks include:

• Payment records from vendors and suppliers who report to credit bureaus
• Public records such as tax liens, judgments, and bankruptcies filed in courts
• Business registration information from state and federal agencies
• Credit account information from banks and financial institutions
• Collection agency reports if the business has unpaid debts

The timeline for a business credit check varies. Some checks can be completed within minutes through automated systems, while others that require manual review may take several days. The speed depends on the complexity of the company's credit history and the specific bureau conducting the check.

Practical Takeaway: Understanding the difference between soft and hard inquiries helps businesses manage their credit-seeking strategy. Companies should be aware that while shopping for credit, multiple hard inquiries can have a cumulative negative effect on their score. Businesses may want to limit credit applications within short timeframes to minimize score impact.

What Business Credit Reports Contain: The Information Behind the Score

A business credit report is a detailed document that contains multiple categories of information about a company's financial history and operations. Understanding what appears in these reports helps business owners recognize what factors influence their credit scores and what information potential lenders will examine.

The first major section of a business credit report contains company identification information. This includes the legal business name, any trade names or doing-business-as (DBA) names, the EIN, the business address, phone number, and sometimes the principal owner or officers. This information establishes which company the report covers and links all financial records to the correct entity.

The payment history section shows how the business has paid its bills over time. This includes payment records from vendors, suppliers, utility companies, and lenders. The report typically shows the account status (current, past due, or closed), the original amount, the balance owed, and the payment pattern over the past several months or years. According to credit reporting standards, most payment history information remains on the report for seven years.

Public records appear in a separate section and include serious financial events such as:

• Tax liens filed by federal or state tax authorities for unpaid taxes
• Judgment records from lawsuits where a court ruled against the business
• Bankruptcy filings under any chapter of the bankruptcy code
• UCC (Uniform Commercial Code) filings that show claims against business assets
• Court records related to business operations or financial disputes

The credit accounts section lists all open credit lines the business maintains. This includes business credit cards, lines of credit, term loans, equipment financing, and trade credit accounts. For each account, the report shows the credit limit or original loan amount, current balance, payment terms, and account status.

Business credit reports also contain information about the business's credit utilization, which shows how much of available credit the company currently uses. A company with $50,000 in available credit using only $10,000 shows better credit management than a company using $45,000 of the same limit.

Practical Takeaway: Business owners should periodically request copies of their business credit reports to verify accuracy. Errors on reports can negatively affect credit scores. Businesses can dispute inaccurate information with the credit bureau, which typically investigates within 30 days and corrects errors if found.

Business Credit Scoring Models: Understanding the Numbers

Business credit scoring models convert the information in a business credit report into a numerical score that represents creditworthiness. Different scoring models may produce different scores for the same company because they weigh factors differently. The most commonly used business credit score is the Dun & Bradstreet PAYDEX score, though Experian and Equifax also offer scoring models.

The PAYDEX score ranges from 0 to 100, with scores of 80 or above generally considered good and scores above 90 considered excellent. The score weights payment behavior heavily, with approximately 35 percent of the score based on how recently payments were made, 35 percent based on how frequently the business pays on time, and 30 percent based on the business's payment trends over time. This emphasis on payment behavior reflects the reality that lenders are primarily concerned with whether a business will pay its obligations on schedule.

Experian's business credit scores use a different range, typically from 0 to 100, with scoring emphasis on payment history, credit utilization, business age, credit mix, and public records. Equifax business scores also consider similar factors. Despite the different models, all major business credit scoring approaches focus on a few core questions: Does this company pay its bills on time? How much credit does it currently use? Are there any serious financial problems in its history?

Several factors directly impact business credit scores:

• Payment timeliness: Late payments significantly damage scores, with payment delays of 30+ days having the most severe impact
• Payment consistency: Regular on-time payments build and maintain good scores
• Credit utilization ratio: Using less than 30 percent of available credit is considered healthy
• Credit history length: Longer histories of responsible credit use build stronger scores
• Variety of credit types: Using different forms of credit (term loans, lines of credit, trade credit) positively influences scores
• Public records: Tax liens,
